Product Decisions: Size and artwork for your custom event pass
1. Choose the finished size
Start with what people need to read at check-in. A compact size such as 2.12 × 3.38 in works well for a logo and a short role label. Try 3.15 × 4.72 in when you also need a name and organization. Consider 4.75 × 6.50 in when the artwork has several lines or a role that staff need to spot from farther away.
If you already have a holder, measure its usable insert area and compare both dimensions with the table below. For a lanyard or clip, leave space for the attachment and keep important text clear of it. Print a sample at actual size and check that it fits and is easy to read when worn.

2. Choose the artwork orientation
Use portrait for stacked information or landscape for longer names. Mark the intended top edge when preparing artwork for a pass worn on a lanyard.
3. Plan the artwork for your custom event pass
Decide what staff should be able to read at a glance during check-in. A guest pass might emphasize the event name and attendee category, while a crew pass can give more space to the role. Use the same location for the role on each design so the versions can be compared quickly.
For a custom event pass with names that vary by attendee, review the layout using both a short name and a long one. If a logo is supplied in different color versions, select the one that remains clear against your intended card background. Keep logos and decorative elements away from the area reserved for a slot or clip.
4. Prepare quantities and review the proof
List each design and its quantity in your quote request. If you plan to order guest, staff and VIP versions together, label each artwork file with its intended group. Confirm the production options and the minimum that applies to each design before approving the order.
Review the proof at the finished size. Check spelling, role labels, the intended top edge and whether the artwork remains visible when worn or inserted into a holder. Confirm the final fit with the holder and attachment you plan to use.
Reordering a custom event pass for a recurring event? Attach the previous proof and mark any changes to the event date, venue or access labels. If multiple teams are submitting artwork, name each custom event pass file by attendee group and list its quantity in your quote request.

Example: guest, crew and VIP passes
Ask for one custom event pass layout with a consistent event name and logo, then put the access label in the same place on each version. Use a clear word such as GUEST, CREW or VIP so staff can distinguish the passes even when the colors are hard to see.
For example, list 120 guest, 25 crew and 15 VIP passes separately in the quote request. Name the artwork files to match those three lines and confirm which versions need individual names. Ask to review each proof at the finished size before approving production.
